1. Sensitive data:

We do not collect or store sensitive data such as social security numbers or medical records. Please refrain from entering such information into My Planio.

2. Information at your own risk:

Your use of My Planio is at your own risk. We are committed to protecting your data with the advanced methods described in section 4 (Storage and encryption). Despite these measures, it is important to acknowledge that no internet-based service can guarantee absolute security.

3. Confidentiality of your data:

We do not sell or pass on your data for any purpose.

4. Storage and encryption

We take the security of your data very seriously. To provide you with the best possible privacy protection, we have implemented an advanced "zero-knowledge" security model.

• Encryption on your device: All your personal sensitive information (e.g., profile names, task details, templates, etc.) is locked with strong encryption directly on your phone or tablet. This happens before the data ever leaves your device.
• Advanced key management: Your data is locked with unique encryption keys. These keys are themselves locked (encrypted) with a master key, which is protected by Google Cloud KMS - a certified and top-secure service located within the EU. The locked data and the locked keys are stored in our database (Firebase Firestore). This model ensures that neither we at My Planio, Google, nor any other third parties can ever access your data in a readable format. Only the app on your own device can request to have a key unlocked to show you your information.
• Separate security levels: To further strengthen security, we use two types of keys:
• A User Metadata Key (UMK), which encrypts general information such as your profile names.
• A Data Encryption Key (DEK) for each profile, which encrypts all content in that specific profile (e.g., tasks and templates).
• Recognized standards: We exclusively use the recognized and robust encryption standard AES-256-GCM, which is recommended by security experts to protect sensitive information.
• Balance between security and performance: To ensure that the app is fast and functional, certain non-sensitive structural data (such as date, time, selected colors, and task status) is not encrypted in the database. This conscious choice allows us to show your calendar overview and sort your tasks instantly. This information cannot in itself identify the task or reveal sensitive content, but it is stored under your account ID, which is linked to your email.
• Local data on your device: Similar data, such as color preferences and the name of the active profile, are stored locally and unencrypted on your device (in Async Storage) to provide a fast and fluid user experience.

5. Usage statistics, analytics, and cookies

We respect your privacy and have a strict policy of processing your data responsibly.

5.1. Website

My Planio uses no cookies for tracking, marketing, or similar purposes on our website. 🍪 To gather general and fully anonymous visitor statistics (e.g., number of page views), we utilize a privacy-focused analytics solution. This aggregated data can in no way be used to identify individual users.

5.2. The My Planio App

To continuously improve features and the user experience in the app, we request your consent to collect usage statistics.

• Data and purpose: If you give consent, data is collected on how the app's features are used. To maximize your privacy, this data is linked to your unique account ID, not your email address. While we can internally connect this ID to your account, this separation ensures that your email is not shared with our analytics tools. We cannot and will not ever see the personal content you write in your tasks.
• Your choice: Consent is entirely voluntary. You can give, change, or withdraw your consent at any time within the app's settings. If consent is not given, no usage statistics are collected.

6. Account activity:

We may track when your account is created and when you last logged in. However, this will not be used for any purpose.
